Event Terms & Conditions

These terms apply to all events, meet-ups, workshops, and gatherings organised by Holito Ltd. By registering for or attending an event, you agree to these terms.
The Short Version (Because Life is Too Short)
We know you didn't come here to read legal text. However, to keep our events safe, fun, and compliant for everyone involved, we need you to agree to the following. Here is the deal in plain English:
- Be a good human: We have zero tolerance for harassment, discrimination, or aggressive behaviour. If you act up, you will be asked to leave.
- Smile, you're on camera: We and our partners take photos and video for marketing. If you strictly cannot be photographed, please tell the staff at the registration desk immediately upon arrival.
- The Data Trade-off: We often run free or low-cost events because of our sponsors. The trade-off is that we and they get to know who you are. By signing up, you agree that Holito and our partners may use your contact info for marketing and to tell you about their services. You can always unsubscribe later.
- Food & Drink: We usually provide refreshments. If you have allergies, ask before you eat. If there is alcohol, drink responsibly. We aren't your parents, but we will stop serving you if needed.
- Liability: We do our best to run safe events, but you are responsible for yourself and your belongings.
The Legal Terms & Conditions
1. General & Scope
These terms apply to all events, meet-ups, workshops, and gatherings ("Events") organised by Holito Ltd ("Holito", "we", "us"). By registering for or attending an Event, you agree to these terms.
2. Registration & Entry
2.1 Accuracy
You warrant that the information provided during registration is accurate. Using false data to bypass these terms is a breach of entry conditions.
2.2 Age Restrictions
Unless explicitly stated otherwise, our Events are 18+. We reserve the right to check ID.
2.3 Right of Admission
Holito and the venue management reserve the right to refuse entry or eject any attendee at our sole discretion, without refund or compensation, for failure to comply with these terms, security concerns, or intoxication.
3. Code of Conduct
We are committed to a respectful, safe, and inclusive environment.
3.1 Zero Tolerance
We do not tolerate harassment based on gender, sexual orientation, disability, physical appearance, race, religion, or technology stack preference.
3.2 Property
You are liable for any damage you cause to the venue, equipment, or other attendees' property.
4. Data Protection, GDPR & Sponsorship
Our Events are supported by third-party organizations ("Event Partners"). To maintain the viability of our events, data sharing is a core condition of registration.
4.1 Holito Usage & Privacy Policy
Holito acts as a Data Controller for your personal information. We use your data for event logistics (e.g., tickets, badges) and for marketing purposes, including notifying you of future events, services, and community updates. Your data is processed in accordance with our Privacy Policy.
4.2 Definition of "Event Partners"
For the avoidance of doubt, "Event Partners" are strictly defined as those organizations explicitly listed, displayed, or named as sponsors/partners on the specific Event registration page or listing for the Event you are attending.
4.3 Data Sharing & Partner Policies
By registering for an Event, you explicitly consent to Holito sharing your registration data (Name, Email, Phone Number, Job Title, Company, LinkedIn URL) with the defined Event Partners.
- Independent Controllers: Once your data is transferred to an Event Partner, they become an independent Data Controller.
- Partner Terms: The Event Partner's use of your data is governed by their own separate privacy policy, not Holito's.
- Commercial Use: You acknowledge that Event Partners may use your data for commercial outreach, recruitment, or marketing. You retain the right to unsubscribe from their communications by contacting them directly.
5. Photography, Media & IP
5.1 Licence to Record
Holito and our Event Partners often commission photography and video recording. By attending, you grant Holito and our Event Partners a perpetual, royalty-free, worldwide licence to use your image, likeness, and voice in promotional materials, marketing campaigns, and archival content across any media format.
5.2 Opt-out
If you do not wish to be recorded, you must explicitly inform a member of Holito staff upon arrival. While we will make reasonable efforts to accommodate this, incidental inclusion in wide shots cannot always be prevented.
6. Health, Safety & Allergies
6.1 Personal Safety
You are responsible for your own safety. You must comply with all health and safety instructions given by Holito staff or venue security, including fire drills.
6.2 Dietary Requirements
While we try to cater to dietary needs, we cannot guarantee that food or drink provided is free from allergens (e.g., nuts, gluten). Consumption is at your own risk.
6.3 Alcohol
If alcohol is served, you agree to consume it responsibly. We reserve the right to stop serving any attendee who appears intoxicated.
7. Liability & Indemnity
7.1 Limitation of Liability
To the maximum extent permitted by UK law, Holito excludes liability for any loss, injury, or damage to persons or property at the Event. Nothing in these terms excludes liability for death or personal injury caused by our negligence.
7.2 Economic Loss
Neither Holito nor our Event Partners shall be liable for indirect, special, or consequential losses, including loss of profit, business, or data.
7.3 Partner Indemnity
You acknowledge that Event Partners are sponsors and not the organisers of the Event. Event Partners hold no liability regarding the operational management, health and safety, or delivery of the Event. Any claims regarding the Event operation must be directed solely to Holito.
8. Cancellations, Changes & Force Majeure
8.1 Event Changes
Holito reserves the right to change the venue, time, speakers, or content of the Event without prior notice.
8.2 Force Majeure
We are not liable for any failure or delay in performing our obligations where such failure or delay results from any cause that is beyond our reasonable control (e.g., transport strikes, extreme weather, pandemics, or acts of God).
8.3 Attendee Cancellation
If you cannot attend, please cancel your registration promptly. Tickets are non-transferable unless approved by Holito in writing.
9. Governing Law
These terms are governed by the laws of England and Wales.
